One of the methods for sending a fax in Xfax is via email. This method allows users to send faxes directly from their email client without logging into the portal.


  1. Email: From your chosen mail client, send an email to [email protected].

    Note - The fax number must be in E.164 format [+][country code][area code][subscriber number]. e.g. [email protected].

    The email address being used must exist in Xfax. If the user requires an account, please contact your administrator.

    Broadcast email-to-fax can also be sent; this involves sending the same email to multiple fax numbers. e.g. sending an email to e.g. [email protected], [email protected], [email protected]. Once received by Xfax, the fax will be sent to each fax number separately.


  2. Subject Line: In the subject line, briefly explain the fax topic.  

    Note - Subject will appear on the first sentence of the coversheet notes.


  3. Email Body: For users assigned a cover sheet, the email body will be included as part of the cover sheet notes.


  4. Attachment: An attachment may be included in the email. This will form the fax body. If an attachment is not included, only the email body will be included in the coversheet notes.

    Note - Accepted file types are .DOC, .DOCX, .PDF, .TIFF, .PNG, .RTF, .JPG, .JPEG, .CSV, .XLS, .XLSX


  5. Send Your Email: Once you have added all the necessary information and attachments, click "Send" to submit your email to fax.


  6. Tracking:  The status of outbound faxes can be tracked in the Xfax outbound queue and history section.


  7. Email confirmation: Once the fax has completed, an email confirmation will be sent to the user mailbox. It will contain details of the fax and status. i.e. successfully sent, or failed.
