Shared Mailbox

Shared mailboxes on Xfax are individual accounts. These accounts can be assigned an inbound fax number. Users can be given access to send faxes and view all received faxes within the mailbox. This also allows routing multiple fax numbers to a single routing address.


Accessing a Shared Mailbox

On the left nagivation panel, select your username. A dropdown will appear listing all the Shared Mailboxes that has been assigned access.



Sending a fax via Shared Mailbox

  1. On the left navigation panel, select the 'Send Fax' button.



  2. Then specify the destination fax number and recipient's name. Notice the 'From' has changed to the Shared Mailbox.

    Note - The fax number must be in E.164 format [+][country code][area code][subscriber number]. e.g. +61299996666.


  3. Add a subject name, attach a file or drag & drop directly. Then click send.

    Note - Accepted file types are .DOC, .DOCX, .PDF, .TIFF, .PNG, .RTF, .JPG, .JPEG, .CSV, .XLS. .XLSX



  4. After the fax has been successfully queued for delivery, you will be prompted to add the receipient to your contact list. If this is not required, simply exit the screen or view the outgoing queue directly.


Viewing Inbound History


On the left navigation panel, select 'Inbound history'. This will display all faxes received by the Shared Mailbox. Depending on the level of access, users will also be able to delete faxes.


Viewing Outbound History

On the left navigation panel, select 'Outbound history'. This will display all faxes sent from the Shared Mailbox. Depending on the level of access, users will also be able to delete faxes.
